The New-Build Sales Platform Checklist

In a platform evaluation last year, a client's sales director asked the vendor presenting to them, one they were looking at before us, to do one thing off the script. He wanted two of his agents to reserve the same available unit at the same moment from two laptops. The presenter said that was not a normal demo scenario. He said it was a normal Saturday. They tried it. Both reservations went through, and the public listing kept the unit available for another eleven minutes. That was the end of that evaluation, and it took less time than the feature walkthrough had.

A feature list cannot show you how a platform handles that race, and neither can a walkthrough. Give every shortlisted platform the same sample project and the same tests below, with your own agents at the keyboard, and score what you actually see. The first test is the one the sales director ran.

Two agents try to reserve one unit

Ask two agents to reserve the same available unit at nearly the same time. One reservation should succeed. The other agent should get a clear message and see the current status. Then check who changed it and when. If both agents can hold the unit, or the public listing stays available, the platform has failed its first live test, and there is not much point running the others.

Next, follow the unit to the buyer. Vinode can bind listings to live project data, including price and availability, and its dynamic PDF reads current unit details when it is generated. Change one unit to Reserved, then open the listing and create a fresh PDF. If either needs a second manual update, the test has failed. The lead source must survive until the unit deal

Now submit a test lead from a known source. Vinode links lead capture to contacts and can carry attribution from submission to deal and unit. Check that the source is still visible after a salesperson updates the contact, moves the deal and assigns a unit. The board needs to see which sources brought leads that became revenue. Attribution will not explain every influence on a property sale, so do not buy a neat report that hides that limit.

Run one discount below the limit and one above it

Vinode includes a discount-request workflow with approval limits and an offer builder. Test both sides of the limit. A sales rep should know whether a request was approved, rejected, or sent to a named decider, and the deal and unit should stay attached to that request. What a new-build sales platform migration costs

Vinode pricing is a custom quote shaped by project size, existing assets and scope. Staff time sits outside that quote. Budget for a data audit, a trial import, user testing, training and cutover. Vinode productized projects usually take two to four weeks, while bespoke work with custom 3D modelling usually takes two to three months. Those are delivery ranges, and your data migration has its own clock. A clean unit file and one sales team are diffrent from several projects with missing history. Ask for separate dates, owners and acceptance tests.

Name a seperate owner for third-party portals. We do not send an automated feed to third-party portals.

When the spreadsheet is still enough

This platform is not for every project. It may be waste where one person manages a few units and can recieve every change directly, and a generic CRM may be enough when there is no public inventory to bind and no unit-level approval flow. Whatever you choose, the new system will fail if the team keeps the spreadsheet as a shadow master, because two master records bring the same drift back.

Do not confuse connected with complete

First-touch and last-touch do not equal full multi-touch attribution. Vinode-owned surfaces stay current, but third-party property portals still need their own process.

Legacy Excel keeps 30 days of change history by default

Doing nothing keeps familiar tools, and it may also keep a weak audit trail. Microsoft's Excel limits set 30 days as the default change-history period for legacy shared workbooks. That does not make every spreadsheet broken. Test if your current record can prove who held a unit, changed its price and approved a discount months later, because a lender or a buyer's solicitor may ask.

Test data export before you sign

Procurement is also an exit plan. Vinode supports async data export, and the contract still needs to say which records you can export, in what format, how long it takes, and what happens when service ends. Run a sample export with units, contacts, deals and discount records. Ask for the exit fee and timetable in writing before you sign.

Replace the spreadsheet only if one record passes

Give each shortlisted platform the same sample project and score the result. Count manual copies, unclear owners, missing history and steps that leave the platform. Then include migration work and exit terms in the decision. Choose the system that passes without a shadow master. If the spreadsheet stays, record the reservation race, the audit gap and the approval limits as accepted risks. Calling them temporary does not make them smaller, and the sales director with the two laptops would tell you the same.
